welcome everyone we're going to be recording this session I just have a few like I said this session is being reported and the slide Deck with the reporting will be posted on the tmit website and will be available and also end of this session you will get it in evaluation that we want you to fill out and give us here on his feet back on that and then at the end of the closing session an evaluation for that session and also and evaluation for the overall Workshop or conference so it was 75 on that and any suggestions future I presentation or good afternoon everyone my name is Martin ohota I am the director of Migrant education here at Region one and it's a very it's a pleasure for us it's a this is a great opportunity for all of us to come together thank you to the state colli then also do that from the other states we really appreciate each one of you with thank you for being here I know there's other sessions going on and so thank you for the opportunity that we have to present to you this information so today we have what is called the date again and this is data mining right data reporting for Maximum Impact and presenting with me today is Miss Nellie piscina and also miss Veronica Rodriguez bear with me here part of the team right from region one and so everything that you see here is actually team effort right our team coming together working together to make this presentation so I hope you enjoy this presentation as much as we have enjoyed working on it the first we're going to start with a disclaimer this presentation is intended solely solely provided general information and guidance and it reflects the region one current understanding of the presentation on topic and applicable federal Guidance the content of this presentation is subject change as a result of further potential information and guidance provided by ta with regulatory oversight of this program the synopsis for this station as you have read Maybe in the manual that has been sent to us virtually we're trying here to provide you right the correlation between Texas and dsm-6 and the system information system that you currently have how do all three of these come together so that we can have Maximum Impact for our district for our ESC for a state so it's working together right engaging in everything that we have within this presentation but also learning together so there's some items here that you might think will this is above and beyond right but my understanding or my paygrade so we're going to discuss some of those things we're going to talk about the valuable skills right of the opportunities that are behind this data mining and also this reporting and also to make it right within our identification in recruitment which is our bread and butter for migrant education good afternoon everybody and Happy Valentine's Day my name is Veronica Rodriguez and I am a migraine specialist region one we're going to start by the big umbrella like it was mentioned before as far as ID and are being at the core of the migrant program I want to share a video of a recruiter from region 1 Sheridan ice Michael Martinez who is tasked with thinking once again outside the box of how to capture how to I how do I Implement idea nor in a fun dance music Type of Way someone is Cher. Donald Carolyn Gonzalez family Iran Iran you wouldn't keep that idea the Forefront as we go through the slide presentation and the information that we're going to be sharing with you the virtual norms for our presentation is keeping students at the strive for Equity a voice and engage in learning our agenda for today is going to be introducing the old and the overview identification and data mining systems of support and cross-referencing these three terminals Texas and GSM six and your District sis report we're going to start with identify introduction and the overview looking at Region one but we're currently presenting right now the numbers we currently have and we've recorded based on Texas and as of February 8th I would like for you to just take a minute to look at the numbers that are districts that are region and what they're working with and of course always knowing that the ultimate goal for our region and the state is to you all of the tools that tv offers provides ome and the district's ID and our efforts in order for identification and we can then support and supplemental services that are provided and a quarter Detroit families that meet the criteria that has been said already so looking at identification and recruitment DJ already requires migratory students to be actively recruited your year-round in every District in the state including of out of school what doctor is an ID in our plan that's also provided by the state that helps you guide and keeps you in track of the timeline to meet Not only was required by the state but also helps you organizing are ties those efforts and activities the idea and are manual also states that idnr must be ongoing throughout the year not just the school year and it must be balanced between the school community and employers this means that a variety of resources including the school district the local community and the employers must be included in those effort to identify and then recruit the family many more children would not fully benefit from school and in some cases would not attend school at all if the State Education Agency or SE a failed to identify and recruit them into the program the idea North process has two main pillars that we're looking at the initial contact with families that made a move to work in agriculture for the fishing industry and meeting the migrant and then the actual recruitment itself to the program that outlines the benefits and necessary documents that are required by the state these are two processes that work in conjunction with a partnership with each other you cannot have one with the other so it's really important that we understand when each role plays in trying to identify and recruit are migrant families that way we can support him and provide our students with the necessary services region one would we just combined our idea and our resources are presentations our best practices and other tools from other regions and entities in one section of our website to provide Optimum access to anyone and for anyone to view visit and use where they feel will benefit their effort when you click on each area you can automatically go to that section that will provide resources that if you find them valuable and useful you're able to acquire them and also to implement so if you were to click on Regional One nasby 2023 it'll take you to one section of our website were you got resources and you have the school resources you have to community and you also have the employer's which sample document that can use and hopefully help so take your efforts at your districts as well so we do encourage you to visit the website at your convenience and see if any of these ideas and things that already implemented can help you and assist you no idea the idea and are administrator responsibility and resource manual and also they are available to you there's sample scripts there's that warms and just a step by step information how to conduct idea nor we also have the video training library but we've comprised all of the videos from other regions as well that are provided or or or us and then for you to use in case you get to an area that you need help so we're trying to make it as easy as possible to have access to this information we just don't want any type of barriers or any paralyzing of your program because you're needing some information. possibly this can help you this can help you with chemical hair dye start looking at data mining systems of support So a very quick definition for data mining the purpose of using computers and automation to search large sets of data for patterns the findings are then turned into business insights and prediction for the migrant education we're going to use this to find right or to fine-tune our ibnr effort and to make a possibility within this right databases a relational database is a type of database that stores in allows access to data the data is a relational. today's is organized in tables that are connected by a unique ID or key so when we have the state database what is that one called if you can put it there on the chat what is the state database called and if somebody can help me with what they're answering Angie as it used to be called and dies the new generation system what is it currently called they're sharing Texas and GS exactly it's now called Texas and GS right so what is National system that we have what is that database called M6 it's the empty box and we I think a lot of the presentations that had happened so far it's right that Texas NGS and the m6 be there. databases for Texas right we encode that they that student demographics the administration's everything on to Texas and dies and then it gets transferred to the National which is the emptyx what is do you think what is the key what is the key field or bucket for both the Texas and GS and the m6 let's see who gets it what is the key we have migrant students usid okay by usaid is only in Texas and GS what's one killed that's on both the Texas and GS and the national dm6 okay, I'm going to tell you guys to get out of it I don't know if they got it and stick bm6 number exactly it is on both right it is on both tables it's like a big table that's what are relational databases and we're seeing it as a big database but it's like having a table with columns and rows and the key for both of them right now is that we have the m6 number so we're going at work and now we're going to apply that to our Data Systems here so we have data mining which is right we have big a lot of information coming in from Texas and she is it gets transferred into the national one which is the m6 what happens with the student information system this is the sis do we have direct communication between these two databases into RS is currently tell me on the chat yes or no is there a way that is to the Texas and yes right the Texas and Jesse's transferring the information to M6 but between these two is there a direct into the sis currently currently there's no communication you see between these three so how do we because we do have in our student information just don't we have RPMs information we have what what is some examples if you want to put on what is your excited for your District or your ESC currently let's see if you if you know who is your sis currently there's different ones right there's there's a sender there Skyward there's do you know currently what is your student information system epicenter Skyward PowerSchool PowerSchool do all of these are different school information systems so those are intact for your district and then our Texas and yes we have our data and coders radar Texas and GS recruiters Texas and dies and coders that are doing the data entry on a stage this is a repository database where everything is getting cut up loaded to the answer from the different state how do we put on together so we're going to show you her auntie and Texas Auntie as we have a beautiful thing happening a lot of our reports are getting converted to CSV functionality what is this mean this means that this time my system is to convert and save data into a, separated by you file format okay what does that mean did any reports before we used to see it on a text file do we have the text file or we have a CSV file which means we can write exported we can put it down into our computer and it turns into an Excel spreadsheet that's for the CFCs be so cruelly if you go to your Texas and GS and you look at what are the newest updates is that these five reports at the top they have been converted to CSV functionality the one I'm going to focus on right now it's number 6 this is the m6 ID number report do you remember the key it cm6 number okay so how do we use this report right to bring light to identification and recruitment hello everyone happy Valentine's Day so as mentioned I am one of the presenters by Nelly proscenium also migraine specialist here at Region 10 most of you probably already know me those of you that don't know me here I am and so the next part here is a cross-referencing of the Texas and GSM six and the sis as we've been asking you on the chat too is a little bit more of em put on that and so we're going to start off by referencing right dose items and by giving you some of the definitions for those of you that might be of our another state right so we do operate with a Texas New Generation system also as we know it here Texas Angie as and what it is probably does not differentiate from what you have it is an online database that communicates are about migrant students it is used the migrant education program staff to share demographic educational and health information as we know all of that information is crucial right when we have those highly mobile students specifically are migrant students moving across either District boundaries or across the state and this case because we're going into the m6 so that I sent you yes is also a web-based Interstate information at work this year is his daughter with Educators across the country and so obviously as Mansion before the data just get get extracted into M6 by basically on a daily basis and still the next here were actually going to if you have access to Texas and GS obviously if you are from Texas so and if you're not right you can also follow along with us but if you are and this is a report that you have not used this is a very good report that will be utilizing compare the data and it is the m6 ID number report and so if you would like to log log into your text Angie  at this time an extract this report and so here are the steps you want to show you every each one of the slides when we're going through each of the type of reports you're going to see that we actually put step by step on how to get to those reports so that you can always go back to those and so you would go into the report section of text Angie asked you would on the m6 ID number report obviously and their skis were running it by region we are reading one so we would be running at by their region then we want to run it by students with and without M6 ID for the purpose of this training so is if you do the drop down you'll see also that you can run it with and then you can run a report without right on its own so it's preference for the purposes of you know of getting presentation if you want to follow song you can run it like this and then you would choose all grades and then disc we are woman would be 23 2024 with all enrollment types and you can sort the order so that way when you download you will see either by student last name or the great level and then as we go through this life you'll see how we can actually filter it more in depth okay so we're going to go ahead and start once we've Brendan report this is what you're going to see right on your inbox so you're going to see the axle M6 ID number report and you'll be able to click on it you see how it is once you select it right this is what you'll see this is what I was talking about that txt the text file is the first one in this is what we were used to before only the text files now we have the second which is the CSV and when we click this when it's actually going to download it for you you'll see how it's downloading and you'll be able to open it into Excel so for the purposes of this training we're going to go ahead and click on this ESV if you're following along with us we are going to have all of these slides for you so that you can have it but if you want to follow again if you have Texas and yes you can go ahead and go in and run this so I want to show you what it looks like so because we cannot show student information some of these reports are very difficult to show you but I do want to show you first of all right it's too The Columns usaid and then look this is key right here it has the m6 ID we have it on Texas and yes we have the m680 and then of course we have all this other information Roman 8 grade enrollment at qad and degeneration date all of these fields you guys are already familiar with because usually when you run a report you're able to see the spirit within those reports but this is the key with this report because I ran it with both it'll tell me these are my total students that I'm showing right now for really do you only y'all have access to this because I'm seeing a bunch of people don't have do this report I'm sorry do you have a question because we don't have access and I'm looking in the chat a lot of people don't have access to this report yes we we turned it over 50 MIP and they're supposed to but we can share ladies I think we have the PDF we can share it with you guys on the check we'll go ahead and see if you guys can share the PDF please presentation for the day I think that there I think she's referring to the actual report on text and GS I don't know okay thank you thank you for sharing that I thought maybe the presentation talking about this report you don't see it on your ride this report I'm looking at a lot of people don't have access to this report OK Google get with you guys on that we had every year she had it because this is a report that showing right which numbers are missing which I'm wondering if they file and anybody else yet the report that is shared by teenage you are Regents the will follow up with that bud in the in the instant that you would have be a proper right for that report you would be able to run it and headed that way but yes it's something that will be shared to that so we we can make sure to follow up yes thank you mrs. Brown so here at the bottom you see where we at Region one we have a total of 9555 current students that are enrolled in Texas and years and then we see which ones have an M6 ID to relieve this report helps for that to Tello there's 90 better missing the m6 ID and so this is how we're currently using this report so basically what the way that we filter and we I want to show you an Excel how to do filtering so because we have last name first name right all of this information at the top how do we filter 90 records that are missing one of them would be very easy right let's just run it without the the m6 numbers and then we're going to get the list but I wanted to show you on the Excel how does it work once we add an Excel we can click on the storage and filter and then it'll give you the filter option when you click on the filter you're going to see these little squares here on each one of those columns and don't going to do it by M6 the m6 number once we do the m6 right number we click on the filter and guess what it gives us all of the all of the numbers the m6 numbers I found so we want to go in and deselect everything go to the very bottom and click blacks and guess what it's going to give us all of the 90 blood banks that do not have an M6 number how is this going to help us it's we're going to be able to know which of those records right are missing the M fix what can we do we can cross-reference that Texas and yes I'm the m62 be able to do that drive to be able to know okay why does this student not have an M6 number and then we can go ahead and fill it in if we currently do have it on M6 another filter that we could do is romantic if they were enrolled right in 2020 24 2023 then that means right that they were enrolled during this time and then again that would select everybody that should an M6 and this is just training purposes right right now for you guys if you do not have this report don't worry we will be able to talk to the help desk and ta and see how we can do this an M6 which is an important pillar of idea nor in helping our migrant families we just want to make sure that we have a good understanding wrap our heads around what can do for us in the ID and our process so when we're looking at the net in the National level dm6 American student information exchange it is an electronic exchange that's developed to link existing state migrant student record it seems to collect to consolidate and of course you're making those in the districts are making those critical education and Health Data available to authorized personnel so this and 6 is really our communication pipeline that connects all of the states for crucial decision-making that affects our migrant population using it with Fidelity and utilizing all of it embedded support will not only help us identify him families but the Ender moose and tractor moose but also allow us to get the services that our program affords them so they are four goals and objectives it helps with enrollment. You have access to placement to make decisions credit accrual and participation so of course right we already mentioned that the purpose of m6 and for those of you that have already been utilizing right M6 you know that this should I take that communication between stays even between us here District to District Rider region to region and so it's just a database. Send her license all of the information for our migratory children so when we talk about continuing of education and support and so we have the family or we have right the parents and we have the child and throughout ride disa presentations of tmip we've heard right how it is crucial that our children are taken care of in regards to any academic gas any social barriers that they might be experiencing any language barriers that they they might be experiencing and so that is basically how we support and so we have the child's right at the center of everything so how do we ensure that this coordination is happening with our parents right and the parents are a focal point in this process because we as a state or as a region or the district right we all communicate and we all were together in order for our parents to be educated enough and how do we do that with the Consolidated report right that could be actually extracted from M6 but in order for that Consolidated report to be used and effective we actually have to ensure that all the information is encoded onto our state database and this case as you are mentioned on the chat is going to be Texas and GS and so. these two systems communicate with each other two and regards to not only recruitment purposes but also for educational to close those those gaps maybe and Credit Ride in an engraved and Ingress we should write all of our efforts are to ensure that the students to graduate and so on m6 and becomes a bigger umbrella then on text Angie has which are State and the reason why is because now we talked about partial credit right we talked about okay how do we tell about the classes how do we collaborate among states to ensure that if the child left with a partial credit from Texas right that when they come back to us if they do that we close out that that class right we ensure that they do get credit for that class if they did attend a school out of state and so that coordination and collaboration has to happen and as you can see if both if boat stays actually and code that in for Mission into their respective databases write that information gets housed in on two and six and communicates with each other as well as they're being data requests that could be sent to and from in that communication. we can have with one another and then the school the counselors the administrators everybody within the schoolhouse is is and should be a huge advocate right of ensuring that the students to graduate on time and so educating them as well as to what this either transfer document or in the case of M6 what there's Consolidated report really is what it entailed and educating the other staff right that doesn't the migrant stuff about how this could support with placement if they do because it has information from other states as well not only from Texas and so the next cast is actually we're going to go through the process of going into M6 so I hope that everybody has access to am 60 or today and if you don't that's okay the steps are going to be I know that basically the whole idea of many of the conversations that we've had throughout this tmip presentations is to actually use M6 tried and give it more you than it has already then it has been we've already given it so we would like for you to follow us and actually downloading a report and actually looking at different aspects of this report with this today so if you do have access to M6 you could log in at that at this time and we can go ahead and place the link on the chat for you in case you don't have it accessible so that way you can log in here and so once you login to M6 we want you too you're going to see right. You have you have report and a section on the navigation bar to the left of your screen and so we want you to click there at this time and we're going to give you a few seconds to get there and the repair show me want to focus on for today's presentation is going to be the student Mobility report and in this case we're going to focus on the general move from and vice versa you also see if there's any general move to but we're going to focus on the front which are the students that are actually coming from another state to us another words to Texas or you know if you're in another state and those would be coming from you from another state any questions or anything on the chat I I really can't see the chat lady so we don't we don't have anything on the chat right now or any report before the student Mobility report have you all use this report those of you that have axes to m okay what are some things that you all use the student Mobility report for okay to see the two in the from some I have not used it yet trends okay thank you buddy thank you Maggie okay so once we're here for those of you that have never run maybe one of these reports we have you're going to get a pop-up box that will appear so you're going to switch from enrollment to qualifying moves you would type in range that you would like to use and so in this case we went we would want for you type in 215 2020 12 to 15 20 24 and the reason for this is because you can see three years back right you can it's a historical you know in from historical information and that you can grasp from this report and so you can go three years back in anyone you know does anyone know why you would want to get three years back and you can admit or you can put your answers on a chat why would I want to run this for three years back eligibility eligibility yes qad right so chances are that some of these students are still going to have eligibility is in at some point if someone missed a movie best damned if we didn't capture them ride Goodwin notice or you know because they arrived at a district over at a region so we can actually cross reference right utilizing the other daughter this is well and you know but first I have to know did they actually make a move somewhere else and then do the do the do the recruitment ride do the interview to ensure that you do it meets the guidelines from our state right and that that's that they that we can pick them up and so yes 36 month eligibility we see qad Trends reoccurring yes exactly so it could be a ride that the student and this is what we seem to that may Sometimes some students have not moved since Kinder but then they're moving again right at a later time due to economic necessity and so you get to capture Trends even with your family's as well so yeah so those of you that have not you you can run it by you know a small time frame so we know sometimes that our students leave around the December month right to go to go work somewhere else or November they never withdraw from and so what happens is that if they were picked up somewhere else but they never withdrew if there was an M6 notice or something that was entered into a database from another state then it's captured through here and that's why these reports are you because there is a Mobility report and so I'm hopefully you were able to run these and we're going to move on to the next section here and so I'm here you're going to see that once you enter that range you should get the screen and in this green you'll see. You'll have United States in this case and Texas on the drop-down will appear and so here it tells me the number of moose and this case as you can see it's twenty-eight Thousand Seven create right number of moose in Texas so when we move on we can click on the Arrow that's on there which is a drop down and we can see actually all of the states so basically where those children or those families are moving from to Texas and this case right if you're from another state than obviously you would be able to see you know from where they're moving from but in this case were focusing on Texas and you can see where you're already looking at some Trends here so I look at this information and I say okay where are my highest students moving from to Texas so California right in this particular scenario we're highlighting California but you can also see the illinoise is another one Indiana is another one that is high Iowa Indiana so I know that if I can if I run bees and these are particularly trance and we've seen it right and we started and other presentations were were like okay well then these are the states where I really really do you want to build Partnerships I want to see exact Glee where my students are coming from and where they're moving to so that way I can plan accordingly I can have a plan of action and I can be proactive rather than reactive and that way I can track these students soap that is what's up right now for this purpose we concentrated in California again if you're running the report you can go ahead and and you know and see this for yourself as you're running dad. Report The Next Step here we did get a blur out some of the student information of course and so we did leave the qad we did leave like the names of the items at the top so that you can see what data it is that you're going to be looking at so once we Clinton cash fornia in this case right you can see that that's the information that you're going to get you can see here how this student in this case it gives you the qad so all of most these are going to be active qad's because of the range that um put it you no privacy and the last step and so you will actually continue to exploit this report using the sport button at the top right of your screen and it create an Excel sheet so that you can begin cross-matching because at the end of the day that's what we want to do right whether we're a district where region you know where skate we wanted to make sure that all of our students are accounted for in all of the databases that we have of and some of you have already mentioned that was on the chat so we're going to continue to this next step which is once you have exported that spreadsheet this is what you're going to see here again weird out that information is in the opening an Excel sheet similar to this indicating the information along with move information as documented on M6 so now you have information that you can filter that you can play around with and that you can compare to other databases so on here we actually show you this deps as to how you would filter so you would select the data on the data ribbon of the screen you will click on data which is up there right and then followed by sort which is Step 2 and that's what we're showing step two and then you're going to select sorting by column I guess we'll sort the moved from study by also for easier access to cities in your District or your area so say your a region right you can sort it by those District singer say you're a state you can sort it also by you know those those cities areas that you want to do you want to hone into you can also store by last name and first name of desired and then you can keep on adding like call him and you can insert what you want them to be sorted by right in this keys were sorting from A to Z then you would it click okay and the report should sort of automatically without you having to do anything else and so once you sort by the area and the district you're going to see in this case for example we have cited Alamo so Alamo basically is it is a region is in region 1 right if we use region one just to Showcase do you know how this would look if you're running it and you feel today that you can hold into those cities in Arizona. Munch belong to you in this case this is how we ran it so those of you that have actually use this report is this something that you do on your end as well and those of you that hat do you think that this is something that could be potentially useful for you or recruitment purposes and for purposes of making sure that you're capturing all of those children and making sure that their service in a timely manner you can unmute or put your put your comments in the chat very useful thank you happy yes it could be really useful thank Melissa okay so then we're going to move on and so on here you can basically delete any students not pertaining to your area by selecting the roads right clicking and press and so you would highlight all of the students who don't belong to you who don't belong to your area and so you would delete if you're just drugged and you would delete all of those that don't pertain to you right if you are a region since you know you would delete anything that does not belong to you and so forth as well things are already and your texts then those only pertain basically to Texas and then here when you delete the student not pertaining to your area this will simplify the cross-matching process right we're already at the place where we already have just do it the students that are that are in our area that you know traveled from California back to Texas and the Bear in a particular area that that we want to just look at and this is where basically the magic starts happening right now then you can cross match against Texas and GS your school information system and to your texts student database which is tsds if you have access right now later on in the presentation will be talking about you and cfds and what like the benefits of having that answers really is but if you don't you can cross match these students ride to Texas Angie as into you Google information system listing and so when we start looking at our school information system so why is it important so sometimes we look up the students right and they don't have history on types and she has because their new so they're coming out on M6 because they made a move to another state the other state is sending a notification right that they've been picked up and that other state but then we going to text Angie  and there's no information about that student so then what do we do once we receive that move notice we're supposed to follow up so we want to cross reference if they are in a school stew in our school system is the notice the same they arrived at your school district or width in your area how do we find out if we don't have anything else right there's no text Angie has data there's no historical day. They are so how do we find out the next point of reference is yours information system so looking it up on your Skyward your Ascender right looking the information up on that system should be the next step to see if that student is actually on there and ends in theater staffs here moving forward there's going to be a simplified way to actually look into that without having to go one by one student and so in the next fly here we do have where you would actually use Skyward student look up to where you would enter the name the date of birth in this case for Mickey Mouse toy dentist by his ID number is enrolled in your district and to verify if you have a coded as a migratory student on Skyward so another thing that this brings up if the student is actually right if you already have this student are they coded as migrant students right and so it's kind of like domino effect if they're on M6 have they've been recruited through you know the state database which is which is a Texas and yes and that's case and if they were captured do they also appear in database for your school system so all of these data entry points have to marry each other at the end of the day and then of course for this student week verify that we do have them identified as a migratory student matching with the same day that we have listed other M6 report and this process would that be continued for each individual student on our report again it does not have to be an individual basis right as you know we get our students coming at different times and again until you know the later part of this presentation will talk about how we can actually identify. on the chat I guess or if you can admit yourself how do you think this process would facilitate or this report will facilitate some of those identification and recruitment efforts that you are currently do okay so let me let me see sricam private web What's Happening Here the m6 reports we're focusing on one which is a student mobility and these students have traveled from Texas out to another state so usually right there isn't fix move that the ESC is receiving and then the ESC is sending it out to the district's sometimes that move isn't initiated either from the state or from Texas when they with in Texas so if there's no insects move notification we there's a possibility that we missed that student the other thing is they could be enrolled in our school district but I did not say that they were migrant so there could be a Miss student that's already enrolled in our district that we do not know about because right maybe they have moved with them New Year's and the window family did the survey they said it's too long ago we don't count anymore but they still have a year of eligibility so when we run this Mobility report we capture those students that actually had a move with an M6 but we were never notified about so that's what this is the student Mobility report how do we use good for our own ride purposes for migrant identification and recruitment we use this report because once we have that list then we cross reference we Cross Match one with Texas and GS if we have it in Texas and GS and it's the current move that is showing on the m6 report then we're good we're perfect we've we caught them on Texas and if they're not on fixes then we go look at the SAS the school information system is they're there and we've right but they haven't been encoded as migrant then that's why they're not we're going to have to interview the family we're going to USA okay so we we were catching them either on Texas and US or on the essay is a lot of times we have to use what is the TS dear and I'm now I think mine's been accustomed to talk to him we want to talk a little bit about Diaz Diaz and make you aware of its functionality and how all of these Terminals and all of these resources can help you identify where there may be an area that a missed opportunity so M6 information is only as good as the individuals that input the information parents are being interviewed when they're leaving they're going to tell you that they're going to certain part of your area they're leaving your state and they're going to go back to home base do they can the person on the other end will send us the information I am 6 what happens when they get here and they don't go to the town that they reported that they were going to on in 6th so this resource tsds is another another partner so to speak in the data dancing. hope you still identify another Safeguard so using tsds or the Texas student data system it is a major initiative ITA agency is the Statewide system that modernizes and improve the quality of data collection management and Reporting in Texas Education so if you're not from Texas you may have a similar database that will help you because all of the campuses in the district's need to report where at how old is Lady when they are enrolled and when they withdraw I just want to make you aware of the steps what we do here and we can when we're communicating with our District's that there's an M6 move notice we will go the extra step and go to tsdf just in case that District says they're not currently enrolled with step one is when you have access or gain access request an accident or given access you will see the first step which is a blue folder there's an arrow that's pointing to it you would click on that folder it takes you to step to which is a unique ID weather next to the word unique there's three little dashes you you need to click on those dashes in order to get the drop-down which you then go and find person and you click on you once you do that it takes you to step 3 of course you always ask the first name the middle name in the last name but what I recommend is that you include the date of birth because that's going to minimum can filter the information that it actually will generate for you you click on search it takes you to step four if you notice that the tail and it'll give you the number of clothes up closely match individuals that you get on there normally my experience has been that the top one will always be the one that I'm looking for because of the birthday the probability of an individual having the in the middle name and the last name and the birthdate of you do it being two or three people at a time has been very very rare and very rare occasion that that's going to happen you click on what part of course we had to blur out the information but it is a link alive link you click on the name and it'll take you to step by this is where you can actually extract the information telling you exactly where that student is in even if M6 has another District that they listed tsds will tell you the exact District that that child actually physically involved that so again this is a tool to play an intricate part in locating students who otherwise may have been missed so we just want to make sure that you are aware that this terminal or just portal is there and again it just depends on your Traders if you're given that soon access you can explain the important role that it'll play for your programmer for the migrant program and hopefully if you have access haven't used it or you can gain access so that you can use it and hopefully Identify some of our missed opportunities while we missed it a student just to bring everything back together one of the things right if one of the things that we want to focus on is of course identification and recruitment because it this is key to every single program so the idea with everything that we have presented so far how do we automate this process because as you saw with Miss Nelly went through every single step that needs to go running backs to the mobility report it's it's a lot and sometimes we say that's not what my my domain that's not within my range of being able to work with spreadsheets and being able to do Data Mining and downloading x 40 and being able to see the data and looking at Trends and things like that. might be my supervisor my administrator so the idea here is for greater impact how do we automate this process so the four key areas of impact one it's an understanding to ID and our productivity having identification and Recruitment and making sure that we are productive in that area three staff efficiency we need our stuff to to get those those key names for example if I have those 9000 students with in Texas and GS and if I have for example 1400 but I found within Musa region 1 how do I make sure which ones I don't want to give my recruiters off 1400 names and for them to do it individually the way we showed you in the sis how do we automate this process this is the final piece here and I understand you could tell me that's beyond my grasp okay but the 4th impact within here is technology infrastructure Within ESC within your District do you have specialized people doing technology during doing Excel spreadsheet being able to communicate to them look I have this report how do I how do you how can you help me convince this report to be usable so that I just called those families that are missing within my Texas and Tia's or they're missing within my school information to so that I can focus on those smaller numbers when I ran it for region one we ended up from the 1400 that we found we ended up with about three hundred and twenty students that are not on Texas Angie they have an M6 move to another state from Texas from Texas then move to another state so that means okay where are those 320 student if they're not on Texas ingenious so now it's a process I said I'm looking at 1,400 students now we're looking at 320 and if we divide it between our team here in region 1 right and within our District's then it'll be a lot easier to manipulate that day. braces all 1400 and doing it individually so the idea here right idea and our goal is to increase student numbers to increase families the data analysis of do data mining is greater systems understanding and increased idnr productivity increased staff efficiency and finally a very strong technology infrastructure working with your Desi it Department working with a data analyst with in your District so that this data right is no longer just kept within M6 or Texas and dies but that we can work seamlessly across the it right Our IT department and for them to help us how do we automate so one way to automate there's there's there's right once you start looking at this data there's many ways to do this one of the things that I found just by working with these spreadsheets is the vlookup function business with in Excel so this function is an Excel spreadsheet can find Pacific information and stealth it can be used to search through large amounts of data across different worksheets so for example this is one of the vlookup that I used to for so I have two spreadsheets one of them is em6 report the other one that spreadsheet number two is I use that M6 report from Texas and GS should have the same number the key here is the m6 number if I have an Excel spreadsheet with the m6 number on Texas and yes that I'm able to do this I'm able to take spreadsheet number and spreadsheet number too and say search within write the 9672 and six numbers and then in column number one which is where I have my M6 number if it's an exact match it's going to it's going to provide me that M6 number so we're I don't have a match which is the ones that we want is going to put at dollar sign and a so when I feel triggered by the dollar sign and they ended up with 320 and those I went ahead and looked up on Texas and yes and they were not there now it's a process of let's find them tsdf let's find them in the school information system if I'm a district then I would do that within those cities I'm going to select those cities for my district that are close to me to my area wait I can find those students that moved from that area to other states and that would be my Mobility report any questions or comments I know this is a lot of information this is like I said one way there's multiple ways right to be able to utilize this reports that are being exported both on Texas and GS or on M6 any questions or comments okay as part of the presentation we are we also have some resources right this isn't tools and resources we have a column for idnr Texas and GS and 6 and the sis they're going to find all of these links available to you and here we get to if you have any questions this is a region 1 and repeat team and this is these are our social media but I'm going to put it here on any questions was somebody able to run the report the mobility report on M6 were you able to find some of your city I think Miss Raquel said she'll try it soon okay I know it's because of that time right will you might not have time to run it completely but definitely try it out if you have any questions you can always reach out we can do a zoom we can do call Ellen said she was able to run the report that we have is Denny's to I'm going to run it right now and so yes let me know if there's if they have the axes and of course we we do it would like for you to to run it I mean we've found some things to us we ran it right some questions that we had and things like that other than you know so it's kind of like looking at those reports and then also compare near Dino on on text on GPS from this one there's Dad Mobility report as well that you could run and cross reference as well and so I did put their early on the chat about tsds us we're working with the move. this is well we've noticed that tsds has been pretty much a lifesaver and in a lot of this in this process being that sometimes you know being in other states we understand the other states how to give us as much information and we appreciate that but sometimes write the family might tell us where we're going to break sample I don't know all of them right and we're going to enroll at a district there and so we have found that sometimes they were whether because of housing arrangements or anything like that they wind up not going to Alamo they wind up going to another city and so they wind up and rolling add another school district and so tsds will give us that historical data as well and so it'll actually tell us where they're actually enrolled for the year and so that makes this process a lot smoother because we're able to dismiss those notifications and find the students in a timely manner so that you can provide services for them as soon as possible and not miss them so basically the purpose of you know downloading all this Excel and cross-referencing to every single data element that we can is to try to find a student soon as possible so that in turn we can serve them and track everything else that comes with it which are the credits ride any other services such as party for service and anything else that the student might need but first we have to find them in order for them for us to be able to service them if we miss them right that's a missed opportunity because sometimes they moved into our district but they were they were they were not there long enough for us to baby I know that they were there so we've missed them so those are the kinds of things if we run these reports on a timely manner it will indicate which moves we do not have documentation pic on Texas and GS now we understand a lot of the states they have the pickup Series right different from us so some of those families might not qualify based on the Texas guidelines so of course we always have do an interview and make sure that we have that documented move and also right that the eligibility make sure that there are eligible for this eoe Within but there's a there's a lot of opportunities here we have not we're just scratching the surface right of being able to do data mining with an M6 in Texas and GSM BSIS I know if you guys start looking and working with it you're going to find easier and better ways to implement right to cross-reference so please share with us once you start working with this information will write a will but the thing that we want to share is we found this method back will give us write those numbers or those students that have the possibility of being missed that we can go ahead and work and this is the only thing that were doing idnr year-round we're not just doing it during the school we're not doing it right at the community and also we're not just doing it and those three balance recruitment area we're also now doing it through data mining with m6 and Texas and GS and the sis and the impact again for each one of us is great because like Miss Natalie and Miss Veronica Wright. from that school background of a principal is okay how do we help the student we need to make sure that we provide timely right timely supplemental services to the students they really needed that they deserve it so I hope this was useful to you guys and I hope that you were able to implement it take it slow once we have the PDF go
